Privacy statement

 

In this text you’ll read the explanation regarding the storage of personal data that the Nijmeegse Studenten Honoursvereniging (hereafter: NSHV) collects of its members and others. The two kinds of groups will be called ‘members’. The association will not collect or use information for other purposes than described in this statement, unless you have given permission to use it for a different purpose, for example: whilst registering for a certain activity. This privacy statement is subject to changes and therefore we recommend you to revisit the statement regularly. It might be possible that the statement will be changed, however, drastic changes will be announced upfront.

 

The sign-in form

Beneath this text, there is a list with the data that the NSHV collects and for which specific purposes. The data is necessary if you want to use the services this association provides. The data that is collected through the application form will be stored in the general members database. This database is stored on a secure server that only the treasurer and the secretary from the NSHV have access to. The data is also stored in a digital administration program. There is a contract between the operators of this program and the NSHV. The data will be kept until October of the academic year that the membership is cancelled at the NSHV through the normal cancellation procedure. For this procedure you have to send an email to secretaris@nshv.nl before the 1st of July of the academic year. If a person wants to become a member once more, he or she will have to fill out this form again.

Student number To make sure, which type of membership is needed and the number is

necessary to apply for a grant.

an annual amount of € 10, - from your account for a contribution and

to make future payments easier.

The Radboud University (RU) can ask the NSHV for certain data that is collected through the sign-in form. This is to ensure that the members are still enrolled as a student. The data that could be collected by the RU is the name of the member and the status of the student. By agreeing with the privacy statement, you’ll also agree with the collection of data as mentioned above by the Radboud University and the Radboud Fonds in order to apply for a grand.

By signing the sign-in form, you’ll agree with processing the personal data.

 

The inspection and modification of your data

It is always possible to file a request with the secretary to inspect, modify, add or delete certain data. If you want to modify, add or delete data, you are, yourslef, responsible for filing a request.

 

To object

It is possible to object to the collection of personal data. The NSHV can choose to continue the collection of data, if the grounds of the NSHV outweigh the objection. The NSHV can also choose to not accept the application for membership if the collection of data that is crucial for membership is inhibited. You can also object to the collection of personal data by the Radboud University. The NSHV will notify the Radboud University of the restriction of data.

 

The obligation to report a data breach

The NSHV has an obligation to report a data breach. The underlying purpose is to make sure the NSHV will handle the data with care and that the NSHV will make sure the data is secure. There is a data breach if there is a loss of data or if the data is processed wrongfully. If there is a data breach, the NSHV is obligated to notify its members. For more information, the data breach protocol can be requested.

 

The study trip/weekend sign-in form

The NSHV will ask additional data on the sign-in form for the study trip/weekend. The data will only be collected from the participants of the study trip or weekend. Beneath this text, there is a list which mentions the additional data which the NSHV collects for the study trip or weekend. In order to verify information, data that is already known, might be asked again through the sign-in form.

Travel document number To arrange transportation for the trip

 

By filling in the sign-in form, you’ll agree to the procedure regarding the collection of the data. The data will be stored for the duration of the organisation of the trip. Afterwards, the data will be destroyed. If you choose to not provide this data which is crucial for the organization of the weekend or trip, participation on the trip or weekend can be denied.

 

Signing up for activities

The registration for activities will happen through the NSHV website. The information that is necessary, will be destroyed after the activity. Not only will the member be asked to give information that is already known, but additional data can also be asked.

When a meal is involved in the activity, dietary wishes and allergies can be emailed to secretaris@nshv.nl. This information will also be deleted after the activity. By signing up to an activity of the NSHV, you’ll agree to the procedure described above.
